About this position:

General Description: Support the Professional Relations and Events Manager, and Senior Strategic Initiative Leadership by coordinating and administrating professional and ministry-related events, including those held onsite, in offsite venues, and via digital platforms or through live stream technology. Organize and maintain in-office staff events and ministry calendar. Serve as a point of contact as assigned for professional relations, including, but not limited to, event planning and execution, VIP visits, talent/presenter coordination for resource development, and the Keys for Living White Label Program. Assist, from time to time and as directed, with other Strategic Initiative departments, programs, and processes.

Key Responsibilities:
  • Assist in the coordination of multiple events, including booking event space, travel arrangements, food/beverage requirements, supplies, AV requests, schedule/facilitate event-related meetings, order signs, and ensure appropriate décor (florals, linens, color schemes, etc.).
  • Maintain the ministry-wide event calendar in multiple formats.
  • Proficiency in current event platforms used in the execution of ministry objectives and train ministry staff as needed.
  • Assist team with all events related tasks to get the job done.
  • Help with the safe return of equipment, props, and inventory, letters of appreciation and gifts as appropriate. Help with setup/teardown as needed.
  • Communicate on behalf of the events department with Hope for the Heart staff, outside vendors, and Hope Center staff as requested.
  • Pull/create reports after each event.
  • Order office supplies, archive documents, reconcile credit card accounts, data entry and research, and other administrative tasks.
  • Assist Senior Leaders with weekly Focus staff meeting coordination.
  • Meet with department/ministry leaders to develop event plan, goals and deadlines.
  • Perform heavy front-line support to ensure timely completion of projects and events.
  • Ensure accurate scheduling, execution, and tracking of communication within the Events Department.
  • Enlist the help of volunteers.
  • Qualifications:
  • Bachelor’s degree (B. A.) or equivalent; or five or more years related experience and/or training; or equivalent combination of education and experience.
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
